Workspaces and teams
A workspace is one business’s contacts, views and settings. A team is a group of members inside a workspace. This page covers creating and switching workspaces, deciding who can see whose leads, and grouping people into teams.
Before you start
- Everyone can open Workspace & team. The Teams table inside it needs view access to Members, and the Workspace setup block only appears if you can edit the workspace.
- Creating a workspace needs a free slot on your plan — the Workspaces meter tells you whether you have one.
- Only the owner of a workspace can delete it.
Steps
Open Workspace & team
In the sidebar, click Settings, then the Workspace & team tab. Three blocks, in this order: Your workspaces, then — if you can edit the workspace — Workspace setup, then the Teams table.
Your workspaces first, then Workspace setup, then Teams
Read the Workspaces meter
The Workspaces meter sits at the right-hand end of the Settings tab row on a computer, and at the top of the section on a phone. It reads something like 3/5, or Workspaces Unlimited with no bar. The bar turns amber when you are near the limit and red when nothing is left.
It counts every workspace on your plan, not the ones you belong to. So 3/5 above a list with one row in it is correct — the other two workspaces are not yours to see. This is the most common “is this broken?” question about this screen.
Create a workspace
Click New workspace. In Create workspace:
- Click the tile to add a logo — Click to upload. Max 5MB.
- Type a Workspace name. The placeholder shows the shape: e.g. Acme Sales.
- Click Create workspace.
It confirms with Workspace "<name>" created. To put people in it, open
Settings → Members while you are in that workspace and invite them — see
Invite and manage members.
If your plan has no slot left, New workspace is disabled and the reason prints under the heading:
All 5 workspaces on your plan are in use. Free up a workspace or upgrade to create more.
Switch to another workspace
Tap any row that is not marked Active. Raion Hub confirms with Switched to the workspace name.
Switching reloads the whole page. Anything half-typed somewhere else — a message you were drafting, a contact you were editing — is lost. Finish what you are doing first.
Rename a workspace, or change who sees which leads
Each workspace row has two small buttons at its right: a pencil, Edit workspace, and a bin, Delete workspace. You only get the pencil on a workspace you own or have edit access to.
The pencil edits the workspace; the bin deletes it
Click the pencil. Edit workspace is the same form as creating one, plus a Lead access block — Who can see and edit leads across the workspace. Change what you need and click Save changes; it confirms with Workspace updated.
Lead access lives in Edit workspace, not in a separate screen
You can edit any workspace you have rights on from here, not only the one you are currently working in.
Renaming moves the workspace’s web address. Links you have already shared keep working — Raion Hub forwards them to the new address.
Create a team
Click Add in the top bar and choose Team (Group members). If the
workspace has no teams yet, the empty Teams table also has a New team
button. Type a Team name — the
placeholder reads e.g. Enterprise Sales — and click Create team. It
confirms with Team "<name>" created.
Teams → New team
Creating a team does not put anyone in it. Add people from Settings → Members: click a member, then Edit beside Teams.
Rename or delete a team
On the team’s row, open the kebab menu (Actions for the team name) and pick Rename or Delete. You only see the items you may use — renaming needs edit access to Members, deleting needs delete access.
Deleting asks first, and tells you what happens to the people in it:
The team is removed for everyone in this workspace. This can’t be undone.
Its 4 members stay in the workspace — they’re just no longer grouped by this team.
Click Delete team to confirm.
Finish the workspace setup
If you can edit the workspace, the block between your workspace list and Teams is Workspace setup — Industry and intents picked during your first-login setup.
- Finished already: Industry and Intents are shown as read-only rows, each with a pencil that reopens that step. Re-run setup on the heading row walks the whole thing again.
- Not finished: the block reads You haven’t finished the initial workspace setup yet. with a Complete your setup button.
The intents are shown as chips: CRM, Capture, Messaging, AI agent, Assignment and Exploring.
What Lead access does
Two choices, and they answer different questions. Visibility is about what members can see; ownership is about what they can change.
| Setting | Option | What it means | Pick this if… |
|---|---|---|---|
| Lead visibility | Shared | Every member sees all workspace leads. | Your team works one shared pipeline and covers for each other |
| Lead visibility | Owner-private | Members see only the leads they own or that are shared with them. | Agents should not be able to browse each other’s contacts |
| Ownership mode | Strict | Members can edit only the leads they own. | You want a clear single owner for every contact |
| Ownership mode | Claim | Members can claim a lead to co-own and edit it. | Whoever picks up the conversation should be able to work the record |
Deleting a workspace
You need to own the workspace and have delete access. Even then, the bin is disabled with the reason printed in the row when any of these is true:
Remove the other members first — a workspace with active members can’t be deleted.
This is your home workspace and can’t be deleted.
This is your only workspace and can’t be deleted.
Deleting a workspace cannot be undone. The confirmation spells out what goes: This permanently removes the workspace along with its leads, views and configuration. Members are not deleted — they keep their accounts and lose access to that workspace only.
Deleting the workspace you are currently in reloads the page afterwards, because Raion Hub has to move you somewhere else.
If something looks wrong
| What you see | Why | What to do |
|---|---|---|
| The meter says 3/5 and you can only see one workspace | The meter counts every workspace on the plan, not the ones you are in | Nothing is wrong |
| New workspace is disabled | Every workspace slot on your plan is in use | Delete one you no longer need, or move up a plan — see Subscription |
| We couldn’t read your plan’s workspace limit - reload to try again. | Your plan details did not load | Reload the page and open Settings again |
| No meter at all | Your plan details have not arrived yet | Wait a moment — it fills itself in |
| Teams replaced by a message about permission | You do not have view access to Members | Ask a workspace owner or an admin. Everything above the Teams block still works |
| No kebab menu on a team row | Your role cannot rename or delete teams | Ask an admin for edit access to Members |
| The bin on a workspace row is greyed out | One of the three reasons above | The row says which one — read the line beside the button |
| No bin at all on a workspace you own | Your role does not include deleting workspaces | Ask the person who set up your roles |
| Workspace name is required. | You clicked save with the name empty | Type a name |
| Logo must be smaller than 5MB. | The image is too big | Save a smaller copy |
| Everything reloaded when you switched workspace | Deliberate, so every screen refetches under the new workspace | Expected |
| The workspace’s web address changed after a rename | The address is derived from the name | Old links keep working |
| No Workspace setup block | It only appears for people who can edit the workspace | Ask a workspace owner to run it |
| Failed to save workspace. | The server refused the change | Try again; if it repeats, message support |
