Change many contacts at once
Select some rows and a bar rises over the bottom of the list with everything you can do to all of them together: set a field, assign an owner, send a WhatsApp, archive, delete.
Before you start
- The bar only appears once at least one record is selected.
- Which buttons you get depends on your role and your plan. Anything you are not entitled to is not shown rather than shown-and-refused, so the bar you see is the bar you can use.
Steps
Select the rows, on a desktop
Tick the checkbox at the left of a row, or press Space on the row you are on.
- Tick one row, then hold Shift and click another, to set or clear everything between them in one go
- The checkbox in the header (Select all rows) takes every matching record, not just the page in front of you, whenever your current view can be described to the server. The count on the bar, 3 of 128 selected, is what you actually hold — read it before you act
- Clicking anywhere in the checkbox column toggles it
- A selection survives paging, because Raion Hub holds the contacts rather than the rows on screen
The bar rises as soon as something is selected
Select the rows, on a phone
Cards have no checkboxes. Open the View & Tools chip and pick Select — the row reads Exit Select while it is on.
Tapping a card now selects it instead of opening it, and a banner appears above the list with a Select all checkbox on the left, the running count in the middle, and Cancel on the right.
View & Tools → Select turns card taps into selections
Set the same field on all of them
Click Change field and find the field — the list has its own search box, Search fields, and each row shows an icon telling you what kind of editor it will open.
- Dropdown-style fields — every choice field, plus Company and Source — open the table’s own picker in a flyout to the right, so the field list stays visible while you choose. The write fires as soon as you pick, and the Change field button spins while it settles. On a phone the picker slides in as a second page with a back arrow.
- Text, number and date fields open a small window instead, titled Set Priority (the field’s name) with Applies to 12 selected leads underneath, and an explicit apply. That confirmation is deliberate: clicking away from a single cell to save it is fine, but writing the same value into twelve records deserves a question first.
Change field — the field list stays put while you pick a value
Multiple-choice fields are replaced, not added to. Whatever you tick becomes the whole value for every selected contact — their existing choices are not kept alongside it. Check the count in the subtitle before you apply.
Fields that never appear in this list: repeating groups, file fields, the owner and the system’s own audit stamps, and anything the AI fills in.
Assign them, or message them
Assign and Send WhatsApp are your workspace’s own row actions, so they carry whatever name and icon your workspace gave them — a rename in Database Configuration reaches this bar too. The stock names are Assign and Send WhatsApp.
Archive or delete them
Open More actions.
- Archive moves them out of the list. A message confirms — 12 leads archived — with an Undo beside it. While you are on the Archived chip, this row reads Unarchive instead.
- Delete asks first: Delete leads?, with the body Delete 12 leads from your leads? You can undo right after, or recover them within 14 days. Then Cancel or Delete. Afterwards you get 12 leads deleted with an Undo.
More actions also holds a submenu named after your workspace’s outbound action (stock name Outbound), with Block outbound, Resume outbound and Manage outbound.

When everything selected is waiting for your answer
If every record you have selected is one of your own assigned-but-not-yet accepted contacts, the bar changes completely into three buttons: Accept, Reassign and Reject.
Accept applies at once. Reject asks first — Reject 4 leads?, with They’ll be removed from your queue. You can’t undo this here.
Where did the button go?
The bar folds as it runs out of room, always in the same order: Send WhatsApp goes into More actions first, then Assign, then the count hides, then the two menus lose their words and become icons.
It measures the space it has, not the size of your window — so docking the Filters panel on the right, or opening a contact beside the table, is enough to make it fold on a perfectly wide screen. If a button is missing, open More actions; it will be in there.
Who can do what
| Control | You will not see it without |
|---|---|
| Change field | the Lead Table permission with update |
| Assign | lead distribution on your plan and the Lead Distribution permission |
| Send WhatsApp | the message scheduler on your plan and the Official WhatsApp permission |
| The Outbound submenu | outbound control on your plan and the Official WhatsApp permission |
| Archive / Unarchive | the Lead Table permission with update |
| Delete | the Lead Table permission with delete |
| Accept / Reject | every selected record being one of your own pending assignments |
| Reassign | the same, plus whatever Assign needs |
Being the workspace owner covers the permission half of those pairs but never the plan half — if your plan does not include lead distribution, nobody in the workspace gets Assign.
If something goes wrong
| What you see | Why | What to do |
|---|---|---|
| None of the selected leads are yours to act on | Every record you picked belongs to somebody else | Widen your role’s access with a workspace owner, or pick your own records |
| A success message ending · 3 skipped (not yours to act on) | Part of the selection was not yours | The rest went through. Check which three, and hand them over if you need them |
| Couldn’t update every lead — refreshing the list. | A bulk accept or reject only partly succeeded | Let the list refresh, then repeat on whatever is still pending |
| Couldn’t assign owner — try again | The assignment request failed | Try again; if it keeps failing, assign a smaller batch |
| Connect a WhatsApp Business account before scheduling messages. | There is no WhatsApp account connected yet | Connect one before using Send WhatsApp |
| Scheduling 40 leads — some may be excluded if you don’t have access to them. | Your selection reaches beyond the records loaded on screen | Expected. Narrow the selection if you need an exact count |
| Couldn’t undo delete — the lead stays deleted | The undo request failed | The record is still recoverable for 14 days |
| Couldn’t undo archive — the lead stays archived | The undo request failed | Use Unarchive from the Archived chip instead |
