Capture Google Form responses as leads
Connect a Google Form to Raion Hub and every new response arrives as a lead, with the answers already in the right fields. Allow about 10 minutes for your first form.
Before you start
- Your role includes the Social Integration permission. Without it the Google card is not on the Integrations page at all, and the page itself reads You don’t have access — Your role doesn’t include the Social Integration permission, which this connection needs. Ask a workspace owner or an admin to grant it. There is deliberately no button on that panel, because the fix is a person
- A Google account that can open the form
- The form already built in Google Forms, with the questions you want to keep
Steps
Open the Google integration
In the sidebar, under Automation, click Integrations, then choose the Google card — its line reads Forms, Spreadsheets and Calendar — map submissions into leads. A card with nothing connected yet shows Connect beside its chevron and a Not connected pill.
Automation → Integrations → the Google card
Connect your Google account
With nothing connected, the page opens on Connect your Google account — Link a Google account to capture leads from Forms, move data with Spreadsheets, and book Calendar events from your leads - all from this page. Click Connect Google account.
The whole browser goes to Google, you sign in and agree, and Google brings you back to this page. There is no code to paste. The Add Account button in the top bar does the same thing, and on a phone it is a + button.
The four tabs — Forms, Spreadsheets, Calendar, Events — only appear once an account is connected. Until then the connect prompt is the whole page, so there is nothing else to click.
Add your form
Forms is the tab you land on. Click Add a form. Google’s own file picker opens, showing only your Forms; choose the one you want. Closing the picker without choosing does nothing.
Raion Hub then reads that form’s questions, and the right-hand side switches to Add a form with one row per question.
If your workspace uses its own web address, Add a form shows Connecting Google has to run on your primary Raion address. Opening it in a new tab… and opens the same screen in a new tab on a Raion address. Sign in again on that tab — the connection still belongs to this workspace.
The Forms tab before anything is connected — Add a form is the only way in
Choose the lead source
Under Linked lead source, pick the source these leads should be stamped with. The picker starts on Select a lead source….
To make a new one without leaving the page, choose + Create new lead source. The dropdown becomes a text box — placeholder e.g. Facebook Ads — Spring Campaign — with a Create button beside it and an ✕ to back out. Enter creates it, Esc cancels. You get Created lead source “Spring Open House”, or, if a source of that name already exists in any capitalisation, Using existing lead source “Spring Open House” and yours is reused rather than duplicated.
A lead source is required. Saving without one gives Lead source is required., and a form with no lead source cannot be switched on at all.
Match the questions to your fields
The table has two columns: SOURCE FIELD, which is the form’s questions, and RAION HUB FIELD. Every row starts at Select field….
Map at least one row. Once a Raion Hub field has been used it disappears from the other rows’ dropdowns, so two questions can never be pointed at the same field by accident.
A question left unmapped is thrown away. Only mapped rows are sent to Raion Hub, so the answers to an unmapped question are not stored anywhere — map everything you might want later, even if you are not using it yet.
One row per question. A Hub field already used by another row is not offered again
Save it
Click Add form. The toast reads Form added. Activate it to start capturing. and the form joins Connected forms with a Pending pill, the count of mapped fields, and the lead source beside it.
Pending means mapped but not yet listening — the switch is what starts capture
Turn capture on
Flip the switch at the right of the form’s row. The pill turns Enabled and the toast reads Spring Open House activated — now capturing leads.
That is the finish line. From now on, a new response to that form creates a lead.
Pending is normal, not a fault. Adding a form deliberately does not start capture — the switch does. If responses are not turning into leads, read the pill before anything else.
What the status pill is telling you
| Pill | What it means |
|---|---|
| Pending | Mapped, but not listening. Flip the switch |
| Enabled | Capturing. New responses arrive as leads |
| Disabled | It was capturing and you switched it off. The mapping is untouched |
What each control does
| Control | What it does | Worth knowing |
|---|---|---|
| Add a form | Opens Google’s file picker, filtered to your Forms | The picker is Google’s own, with its own wording and its own permission messages |
| The row’s switch | Starts or stops capture | On, Google pushes each new response to Raion Hub; off, it stops. The mapping survives both |
| Linked lead source | Stamps every lead from this form with that source | Required. The switch stays unavailable until one is set |
| A RAION HUB FIELD cell | Decides which field of your contact the answer fills | Leave it at Select field… and that answer is not stored |
| The trash icon | Disconnects the form | Stops future capture. Leads already created are kept |
Change a form’s mapping
Click the form’s row in Connected forms and its mapping loads on the right, headed Edit form mapping. Change the fields or the lead source, then press Save changes — the toast reads Form mappings updated.
On a phone the list and the editor never share the screen: tapping a form slides the editor over the list, and the back arrow (Back to connected forms) brings the list back.
Stop capturing from a form
Two ways, and they are not the same thing:
- Flip the switch off. Capture stops, the pill becomes Disabled, and the mapping stays exactly as it was, so switching it back on picks up where it left off.
- Click the trash icon (Disconnect). The confirmation reads Disconnect this form? — The webhook will be removed and new responses will no longer be captured. Existing leads are kept. Press Disconnect and the toast reads Form disconnected.
Leads already in your database stay in both cases.
The Google account itself
The account chip sits to the right of the Google title and shows the account’s email, with a small dot on its avatar: green when the connection is healthy, amber when it needs reconnecting. Clicking the chip opens a menu listing each connected account, with Disconnect this account as the last row.
Beside it, the ⋮ button (Connection actions) holds Reconnect, which runs Google’s consent screen again.
Disconnect this account asks Revoke Google access? — The current account will be disconnected and webhooks for connected forms will stop firing. Press Revoke and the toast reads Google access revoked. Every connected form on that account stops capturing.
If the connection expires
A banner appears at the top of the page on every tab: Google connection expired — Your Google authorization is no longer valid, so calendar and form features are paused. Reconnect to restore access - your lead-source and field mappings are kept. Press Reconnect.
Three things are worth knowing about it:
- It can appear on its own, mid-session, without a reload. The avatar’s dot turns amber at the same time.
- The usual cause is Raion Hub’s access being removed on Google’s side, at myaccount.google.com → Security → Third-party access.
- Reconnecting keeps everything — every field mapping, lead source, named calendar and routing rule. Nothing has to be rebuilt. And a dead Google connection never signs you out of Raion Hub.
Revoking an account from the chip is different: that account leaves the list entirely rather than turning amber.
If something goes wrong
| What you see | Why | What to do |
|---|---|---|
| No forms connected / Add a Google Form, then activate it to start capturing its responses as leads. | No form on this account yet | Press Add a form |
| Responses are not becoming leads | The pill reads Pending or Disabled | Flip the row’s switch. The pill has to read Enabled |
| The switch will not move | No lead source is linked — the switch reads Map a lead source before activating… | Click the row, set Linked lead source, Save changes, then flip the switch |
| Lead source is required. | Saved with nothing under Linked lead source | Pick a source, or create one with + Create new lead source |
| Map at least one field before saving. | Every row was left at Select field… | Point at least one question at a Raion Hub field |
| No fields detected. | The form you picked came back with no questions | Check in Google Forms that the form has questions, then Add a form again |
| One field is empty on every captured lead | That question was left unmapped | Click the form, map it, then Save changes |
| Google OAuth token unavailable. Try re-authenticating. | The picker could not get permission from Google | Use Reconnect under the ⋮ button, then try again |
| Failed to open Google Form picker. | The picker could not be opened | Try again. If your workspace is on its own web address, use the new tab Raion Hub opens for you |
| Failed to load Google Forms. | The connected-forms list could not be read | Reload the page. If the Google connection expired banner is up, Reconnect first |
| Failed to save form. / Failed to update form. / Failed to disconnect form. | That one call did not go through | Try again. If it repeats, message support |
| You don’t have access | Your role is missing Social Integration | Ask a workspace owner or an admin to grant it |
Every message above can be replaced by a sentence from Google or from our server, so the wording on your screen may differ. The cause, and the fix, are the same.
