Invite and manage members
Everything about the people in your workspace: inviting them, approving them, giving them a role and a team, and handing their leads on when they leave.
Before you start
- Viewing members needs view access to Members — without it the section is not in your Settings at all.
- Inviting and adding need create access, roles and teams need edit access, removing needs delete access. A workspace owner normally has all of them.
- Every accepted invite uses a seat on your plan. The Seats meter is at the right-hand end of the Settings tab row (at the top of the list on a phone).
Steps
Open Members
In the sidebar, click Settings, then the Members tab.
One row per member; the Seats meter sits at the right of the tab row
The columns are Member, Phone, Role, Status, Teams and Joined. The whole row is a button — there is no menu at the end of it. Click anywhere on a row to open that person. On a phone each member is a card you tap.
Past twenty people the list pages: Previous and Next, with the count between them.
Invite someone by email
Click Invite member. In Invite your team:
- Inviting to shows which workspace they will land in. It is always the one you are working in now — to invite into a different one, switch workspace first from Workspace & team.
- Type the addresses under Email addresses, separated by commas or new lines. Several at once is fine.
- Pick a Role. You can also type a name that does not exist yet and build the role there and then — the role editor opens on top, and the new role is selected here when you save it.
- Click Send invites.
The line under the addresses tracks the seats you have left
The line under the addresses counts your seats down as you type: 4 of 8 seats left on your plan - each accepted invite uses one. If you type more addresses than you have seats it turns red and blocks the send.
Success confirms with how many went out: 3 invites sent — they’ll appear here once they accept.
An invite does not create a row. Nobody appears in the table until they accept, and there is no pending-invite list to check. If you need to know whether someone got theirs, ask them.
Add someone who is already on your plan
If the person already works in another workspace on the same plan, they do not need an invite. Click Add from another workspace, search the list — the second line of each person tells you where they already are — pick a Role, and click Add to workspace.
This never uses a seat, because everyone it offers you already holds one.
Approve or reject someone who has joined
Anyone not yet approved shows Pending in the Status column. Click their row, and under Approval use Approve or Reject.
Everything about one person is in their details panel
An already-approved member has no status buttons — removing them is the path instead.
Change someone’s role
In their details, click Change role at the bottom and pick from the list.
It is disabled until the member is approved; the tooltip says Approve the member first.
Put someone in a team
In their details, click Edit beside Teams, then tick the teams they belong to and click Save. You can create a team from here with New team at the bottom left — it is ticked for them straight away, but nothing is saved until you click Save.
With nothing ticked the dialog notes No team = All teams (workspace default) — an ungrouped member sees records across all teams rather than none.
Remove someone who has left
In their details, click Remove member. The dialog walks three decisions, and it is worth reading rather than clicking through.
What goes, who inherits it, and when — all three before you confirm
- What will be removed — a live count of what they are holding, worked out while you watch (Checking impact…). If they hold nothing it says so.
- Where their leads go — Workspace owner hands everything to the owner. Choose members lets you pick people instead; with two or more, a Split block appears where you set each person’s Share as a percentage, or click Split evenly.
- When — the grace option revokes their access now but lets you restore them intact for a few days. Immediately revokes access and tears their assets down on the next sweep.
The button at the bottom follows your choice: Schedule removal or Remove now.
Immediately cannot be undone. The dialog says so plainly: Access is revoked now and the teardown runs on the next sweep — this can’t be undone. If there is any doubt, choose the grace option.
Restore someone you removed by mistake
Inside the grace window, their details open with a banner saying when the removal lands and how long you have left, plus a Restore access button. Their footer button changes from Remove member to Restore access too.
What the Status chip means
| Chip | What it means |
|---|---|
| Approved | Working normally |
| Pending | They have joined and are waiting for you to approve them |
| Rejected | You turned them down |
| Deactivated | Their access has been switched off |
| Pending removal | Scheduled for removal, still restorable |
The Teams column shows one chip per team, or a single Unassigned chip. Unassigned is not a problem — its tooltip explains it: Not in any team — sees records across all teams.
What the Seats number counts
A seat is one person on your plan, counted once however many workspaces they work in. The meter shows the whole plan’s total, so 6/8 above a two-row table is normal — the other four people are in your plan’s other workspaces.
When the seats are gone, Invite member is disabled and the row says:
All 8 seats on your plan are in use. Free a seat or upgrade to invite more.
Add from another workspace keeps working, because it only offers people who already hold a seat.
A shortcut worth knowing
The Add button in the top bar (on a phone, at the top right of Settings) reaches all of this from any tab: Member with the caption Invite by email, Member with the caption From another workspace, Team, and Role. Both member entries are titled Member — read the caption underneath.
If something goes wrong
| What you see | Why | What to do |
|---|---|---|
| You invited someone and they are not in the list | An invite creates no row; they appear when they accept | Nothing to fix — there is no pending list to chase |
| Seats says 6/8 but you can only count two people | Seats are pooled across every workspace on the plan | Nothing is wrong |
| Invite member is disabled | Every seat on your plan is taken | Remove someone who has left, or move up a plan — see Subscription |
| The seat line turns red: That’s 6 invites for 2 remaining seats - remove some, or upgrade your plan. | More addresses than seats | Take some addresses out, or upgrade |
"<address>" doesn't look like a valid email. | A typo in one of the addresses | Fix it and send again |
| Create a role first, then pick it here — invites need a role to join into. | The workspace has no roles yet | Build one — see Roles and permissions |
| Couldn’t send the invites. Please try again. inside the dialog | The send failed. Nothing was sent | Try again; if it repeats, message support |
| Change role is greyed out | The member is not Approved yet | Approve them under Approval first |
| No Invite member or Add from another workspace buttons | Your role cannot create members | Ask a workspace owner |
| You don’t have access where the member list should be | Your role does not include viewing Members | Ask a workspace owner or an admin to grant it |
| Everyone on your plan is already in this workspace. | There is nobody left to add from elsewhere | Invite them by email instead |
| This member funds the workspace subscription and cannot be removed. Reassign billing to another account first. | They are the subscription payer | Move billing to another account first — see Subscription |
| This member can’t be removed — they may be the workspace owner or already removed. | Owners cannot be removed here | Message support if the workspace needs a new owner |
| A red line naming people who can no longer receive leads - untick to continue. | Someone you picked to inherit leads has become ineligible | Untick them; the confirm button unlocks |
| Failed to load members. | The list could not be fetched | Reload the page and reopen Settings |
