Create and change calendar events
Read your Google Calendar, book an appointment and move one, without leaving Raion Hub. This is the Events tab of the Google integration.
Before you start
- A Google account connected to this workspace — see Capture Google Form responses as leads for the one-off connection. The tabs on this page do not exist until an account is connected
- Your role includes the Social Integration permission
- The events you see are the ones on the connected account’s Google calendars. An event you create here is a real Google Calendar event, and the people you add as guests are invited
Steps
Open the Events tab
From the sidebar, Automation → Integrations → Google, then the Events tab. It opens on Week, and the week starts on Monday.
On a computer the toolbar runs left to right: the Day · Week · Month buttons, then ‹, Today, ›, and then the name of the period you are looking at. On a narrower screen the three view buttons sit on their own row and the period name comes first, with the arrows and Today to its right.
Week view: events grouped under a heading per day, with a count on each
Choose which calendar you are looking at
This is where most “my event is missing” questions end. The dropdown at the right — Calendar to show — starts on one calendar, the connected account’s own default, marked (default) in the list. Anything sitting on another calendar is simply not in front of you.
Open it and pick All calendars to see everything at once; each event row then also says which calendar it came from. All calendars is only in the list when the account has more than one calendar — and with only one calendar on the account, the dropdown is not shown at all, because there would be nothing to choose.
Move to the day, week or month you want
- Day · Week · Month change the shape of the list.
- ‹ and › step back and forward by whatever you are looking at — a day in Day, a week in Week, a month in Month.
- Today jumps back to now.
Each day’s heading carries the date, a Today pill when it is today, and a count — 1 event or 7 events. In Day view the date and the pill are left off, because the toolbar already names the day.
A long list reveals itself in blocks: after 60 rows there is a Show 60 more button at the bottom.
The view you choose is remembered in this browser, so it is waiting for you next time — but it does not follow you to your phone.
Create an event
Click New event. The dialog opens with sensible times already filled in: on today, the next full hour, one hour long; on any other day you are looking at, 09:00, one hour long.
| Field | What it is |
|---|---|
| Title | What the event is called — placeholder Site visit with Aisha. Required |
| Starts | Date and time it begins |
| Ends | Date and time it finishes. Moving Starts moves Ends with it, keeping the length |
| All day | Switches both pickers to dates only |
| Calendar | Which calendar it is created on. It starts on the calendar the filter is showing |
| Location | An address or a meeting link — placeholder Add a place or a meeting link |
| Guests | Type an email and press Add or Enter. Each one becomes a chip with an ✕ to take it off |
| Notes | Anything the guests should know |
Press Create event. The toast reads Event created. and the event appears in the list.
An event needs a title and a start and end that make sense; everything else is optional
Change or delete an event
Click anywhere on an event’s row to open it as Edit event. Change what you need and press Save changes — the toast reads Event updated.
The ⋮ button at the right of the row holds the rest:
- Edit — the same dialog.
- Open in Google — opens the event in Google Calendar. It is only there when Google gave us a link for that event.
- Delete — asks Delete this event?, “Site visit with Aisha” will be removed from Google Calendar for everyone invited. Press Delete and the toast reads Event deleted.
To move an event to a different calendar, open it and change Calendar. The toast then reads Event updated and moved.
Saving an event clears its guests’ Yes and No replies. Raion Hub rewrites the whole event when it saves, and only the guests’ email addresses survive — their answers do not. Dragging an event to another day does the same thing. If replies matter more than the change you were about to make, edit that event in Google Calendar instead.
The month grid on a computer
Month on a computer is a full grid, headed Mon to Sun. Days belonging to the months either side are dimmed, but they still work.
- Each cell shows up to three events. Anything beyond that folds into +2 more, which opens that day in Day view.
- Clicking the day number opens that day in Day view too.
- Hovering over a cell reveals a + that creates an event on that day.
Three events per cell, then +N more. Dimmed cells belong to the next or previous month
Drag an event to another day
Pick up an event’s chip and drop it on another day. The target day highlights as you go over it, the chip appears on its new day straight away in grey until Google has it, and the toast reads Moved to Wed, Sep 16. The chip’s own tooltip says the same thing: Site visit with Aisha - drag to another day to move it.
A drag moves whole days only. The time of day and the length never change, so a 2pm hour-long visit dropped on Friday is a 2pm hour-long visit on Friday. To change the time, open the event and edit Starts.
The time of day and the length are kept — only the date changes
The month grid and dragging are on computers only. On a phone, Month is a compact grid of day numbers with up to three coloured dots on each and today as a filled disc. Tap a day and its events list underneath, headed by the date, a Today pill when it applies, and Nothing on this day, 1 event or 4 events.
Reading an event row
| What you see | What it means |
|---|---|
| The coloured bar on the left | The Google colour of the calendar the event is on |
| All day in place of a time | An all-day event |
| (No title) | The event has no title in Google |
| A Tentative pill | It is marked tentative in Google |
| A Cancelled pill, title struck through | It has been cancelled in Google |
| A pin, then a place | The event’s location |
| 3 guests | How many people are invited |
Keyboard shortcuts
On a computer, with the cursor outside any box:
| Key | What it does |
|---|---|
| ← / → | Previous or next day, week or month |
| T | Jump to today |
| D / W / M | Switch to Day, Week or Month view |
| N | New event on the day you are looking at |
They are deliberately off while you are typing in a field, and while any menu, dropdown or dialog is open, so N in the Title box types an “n”. They also do nothing while ⌘, Ctrl or Alt is held. Press ? anywhere in Raion Hub to see them in the app’s own list, under Calendar events — and see Keyboard shortcuts for the rest of the app.
If something goes wrong
| What you see | Why | What to do |
|---|---|---|
| An event you know exists is not in the list | Calendar to show is on one calendar, not all of them | Switch it to All calendars |
| A long event that began last month is missing from this month | Only events that start inside the period you are looking at are listed | Move back to the period it started in |
| Nothing this week / Nothing this month / Nothing on Wed, Sep 16 | Nothing on the selected calendar in that period | Try All calendars, or move to another period. New event in the empty state creates one here |
| Google returned the first 250 events per calendar for this period, so some may be missing. Narrow the view to be sure. | A calendar came back completely full for that period | Narrow the view — Day or Week instead of Month — or filter to one calendar |
| Google returned the first 1000 events per calendar for this period, so some may be missing. Narrow the view to be sure. | The same, in Month view | Switch to Week or Day |
| Failed to load calendar events. | The events could not be read | Reload. If the Google connection expired banner is up, Reconnect first |
| Could not load your Google calendars. | The list of calendars could not be read, so the filter has nothing to offer | Reload. Check the connection banner at the top of the page |
| Give the event a title. | Title was left empty | Type a title. The message appears at the top of the dialog, not under the box |
| Pick when it starts. / Pick when it ends. | A date is missing | Fill both Starts and Ends |
| The end is not after the start. / The end date is before the start. | The event finishes at or before it begins | Move Ends later. The shortest event is 15 minutes |
| Enter a valid email address for the guest. | Add was pressed on something that is not an email address | Correct it, then Add again |
| A guest you added twice only appears once | A repeat of an address already on the list is ignored | Nothing to do — it is already invited |
| Failed to save the event. | The save did not go through | Try again. Check the event in the list before saving twice |
| Could not move the event. | A drag did not reach Google | The list re-reads itself, so what you see is the truth. Drag it again |
| A calendar you want to book on reads read only | Google gives the connected account read access to it, not write | Pick another calendar. Read-only calendars can be looked at but not written to |
| You don’t have access | Your role is missing Social Integration | Ask a workspace owner or an admin to grant it |
The 250 and 1000 limits are per calendar, not per period, so three calendars of 100 events each is 300 events and nothing is missing.
