Capture leads from Facebook and Instagram ads

Connect a Meta account, choose which Pages to bring in, map one form’s fields, and switch capture on. From then on every answer to that lead form arrives in your contacts with a lead source attached. Allow about 15 minutes for the first form; the ones after it take a minute each.

Before you start

  • Your role includes read access to the Integrations permission. If there is no Meta card under Integrations, that is what you are short of — see if a card is missing
  • A Meta login that manages the Page: either the personal account that owns it, or access granted to you at the Meta Business Portfolio level
  • At least one published lead form on that Page. Meta does not report drafts
  • If you can, do the first one on a computer. Meta’s login opens as a popup there, which is the least fiddly of the four ways it can open

Steps

Open the Meta page

In the sidebar, under Automation, click Integrations, then click the Meta card.

Opening this page connects nothing by itself — nothing is written to your workspace until you press a connect button.

Start the connection

With nothing connected yet, the body of the page reads Connect your Meta account — Link a Facebook or Instagram account to start ingesting leads from Meta Lead Ads forms in real time. Click Connect Meta account.

Once you have one account connected, that empty state is gone and the way to add another is Add Account in the top bar, or the + button at the top of the screen on a phone. There is no Connect button beside the account name.

Choose your login type

A dialog opens — Choose Meta login type, Pick the option that matches where the Meta page is managed.

ButtonPick it when
User Account LoginUse this when the page is owned or managed under a personal Meta account.
Business Portfolio LoginUse this when the page sits under a Meta Business Portfolio and access is granted at the portfolio level.

Pick by where the Page is managed — this only decides which Meta login runs

All this changes is which Meta login runs. One thing to expect afterwards: a Business Portfolio login carries no email address, so the account shows up in Raion Hub under the business portfolio’s name rather than your email.

Sign in at Meta

Meta’s own login opens next, and how it opens depends on where you are:

  • on a computer, in a popup window
  • in a phone browser, as a full-page redirect
  • in a browser tab inside the Facebook app, if you got here from a link there
  • with Raion Hub installed as an app — an iPhone Home Screen app, or a desktop install — nothing opens by itself, and a dialog asks you to continue in your browser instead. See if the login does not open

While this runs, Raion Hub shows a banner reading Opening Meta… and then Finishing Meta connection…. You have 30 minutes to finish at Meta; after that the login can no longer be collected and you start again.

Pick the Pages to bring in

Back in Raion Hub, Select pages to connect opens — Choose which pages to bring into this workspace. Only selected pages are connected — you activate lead capture per page after mapping its fields.

Above the list, a line counts what Meta offered (3 PAGES AVAILABLE) with Select all beside it, which flips to Clear all once everything is ticked. Tick the Pages you want, then press Connect (3) — the button counts what you ticked, and does nothing until you tick at least one.

The banner then reads Connecting pages…, then Syncing forms and fields… with a percentage while Meta’s forms are pulled in, and a message confirms: Pages connected. Map fields, then activate to go live.

No lead is captured yet. Connecting a Page brings its forms in; it does not switch anything on.

Find the form you want

Under the heading Lead forms, each connected Page is a group you can fold away, with its name in capitals, a count reading 1 of 2 capturing, and a ⋮ menu at its right.

Each group is one Page — the count beside its name is how many of its forms are capturing

If nothing is mapped yet, a card sits above the list — We found 3 lead forms on 2 pages — with a Review the first form button that takes you straight into the first one. Use it.

A form that is off shows nothing at all beside its name. That is normal, not a fault.

Open the form

Click the form’s row. The whole row is a link, so there is no control on it to hunt for.

A panel opens at the right of the screen and pushes the page across; on a narrow window it overlays instead, and on a phone it rises from the bottom as a sheet. Its heading is the form’s name, and under that the Page’s name and how many fields Meta sent.

Four sections, top to bottom: Lead source, Field mapping, Capture, Test

Nothing in this panel is saved until you press Save changes — including the field matches that are already filled in when it opens. Esc closes it.

Set the lead source

Lead source is the first section and the one required answer: Every lead from this form lands with this source attached.

Open the dropdown and pick one you already use, or choose + Create new lead source. The dropdown is then replaced on the spot by a text field — there is no dialog to look for. Type a name, press Create or ↵, and the new source is selected for you. Esc cancels.

Animation

+ Create new lead source swaps the dropdown for a text field — no dialog opens

If a source with that name already exists, whatever its capitalisation, it is reused rather than duplicated and the confirmation reads Using existing lead source with the name. Read the name in that confirmation either way — it is always the name that was actually saved.

Check the field mapping

Field mapping lists each field Meta will send on the left, with a dropdown on the right for the field it should fill in your workspace.

Rows that Raion Hub matched for you carry a ✦ and the section says how many — 4 auto-matched — until you touch them. Read them anyway. They are proposals, not settings: they are written only when you save.

  • If any row has nothing chosen, the section says so: 2 fields unmapped — those answers are dropped, not queued. There is no way to recover a dropped answer afterwards, so map anything you care about now.
  • One of your fields can take only one Meta field. A field another row has claimed disappears from the other dropdowns.
  • This form has no fields to map. means Meta sent no fields for it.

Save, and switch capture on

Press Save changes. Because the form’s switch is still off, Raion Hub asks first — Start capturing now? — offering Not yet or Start capturing.

  • Start capturing saves the mapping and switches the form on: Field mapping saved — this form is capturing now.
  • Not yet saves the mapping and leaves the form off: Field mapping saved - turn the form on to start capturing.

You can also flip the Capture switch in the panel whenever you like. Flipping it on before a lead source has been saved does nothing useful: the panel scrolls back up to the lead source and shows the reason in red instead.

The bar along the bottom of the panel tells you where you stand — All changes saved, or Unsaved: Lead source · Mapping naming exactly what is pending. Discard throws the pending changes away.

Send yourself a test lead

The last section is Test, and it exists only on Meta. Press Send a test lead: Meta posts a sample lead through the same live webhook a real lead uses, and the line beside the button reads Sent — it should appear in your leads shortly.

Then go and look at your leads. The test lead should be there with the lead source you chose, which is the proof the whole chain works.

If the line beside the button says Available once the form is mapped and on, the form is not live yet — save a lead source and switch Capture on. If it says This page is not live at Meta yet, see when Meta has not accepted the page.

What has to be true before a lead arrives

Three separate things, all of them:

  1. The Page is connected.
  2. The form has a lead source saved.
  3. The form’s Capture switch is on.

There is deliberately no on/off switch on the Page itself. A Page subscribed at Meta with no mapped, enabled form captures nothing, so the switch lives on the form, where the decision actually matters.

Turning several forms on or off at once

The ⋮ menu on a Page group holds at most two rows, and the first one changes with the Page’s state — you never see both of these at once.

RowWhen you see itWhat it does
Turn all forms offAt least one of the Page’s forms is onTurns every form off and stops the Page capturing. The mappings are kept
Turn all mapped forms onNo form is on, and at least one has a lead sourceTurns on only the forms that already have a lead source, and skips the rest on purpose — a subscription whose leads all get dropped is worse than none
Remove pageAlwaysSee removing a Page

A Page with exactly one form shows only Remove page, whatever state it is in.

More than one Meta account

The account chip beside the page heading — an avatar, the account’s name and a chevron — is how you switch between connected accounts. Its ⋮ button (Connection actions) holds two rows:

RowWhat it does
Sync nowRe-reads the Pages, forms and fields for the account you are looking at. It changes no form’s on/off state, so it is always safe. It reads Syncing… while it runs
ReconnectReopens the login-type dialog. It is available even when everything looks healthy, because a permission change on Meta’s side cannot be spotted in advance

Two more things about this row:

  • The account’s name is often not your email. Raion Hub shows the business portfolio name if there is one, then the email, then the name on the Meta token — which on a portfolio login is Meta’s own auto-created system user. If you are hunting for your email address in the switcher, it may not be there.
  • There is no “last synced” time on this page, because Meta does not supply one. A healthy connection shows counts rather than a badge, and an amber Reconnect needed pill with a Reconnect button appears only when the login has actually gone stale.

The page follows changes on its own: a sync that finishes late, or a change another admin makes in another tab, shows up without you doing anything. Once a Page’s sync ends, its lead forms load by themselves.

To re-read the list without a full sync, use the refresh button beside the Lead forms heading; it confirms with Pages refreshed. If the list fails to load, press Try again.

When Meta has not accepted the page

A Page group sometimes carries an amber Not live at Meta pill: This page’s forms are ready but Meta has not accepted the subscription. Use Sync, or turn a form off and on again.

That is exactly the fix, in that order — Sync now from the account chip first, then, if the pill stays, open a form and flip Capture off and on. While it lasts, Send a test lead is blocked and says so.

Removing a Page, or an account

To stop one Page, use its ⋮ menu → Remove page. The confirmation is Remove this page? — This unsubscribes the page at Meta and deletes its forms and field mappings. Lead capture from this page stops immediately.

To remove one connected account, open the account chip and choose Disconnect this account. The confirmation is Disconnect this Meta account? — its pages are unsubscribed at Meta and their forms and field mappings are deleted, and other connected Meta accounts are left alone.

Removing your last Meta account tears the whole connection down. There is no separate “Disconnect Meta” — that is what this is. The Meta grant is revoked and your browser is signed out of Facebook as well. The confirmation says other accounts are untouched, which is true and beside the point when there are no others.

Leads that already arrived stay in your workspace. It is the capture that stops, not the contacts you have.

If the login does not open

On Raion Hub installed as an app — an iPhone Home Screen app, or a desktop install — Meta’s login cannot run inside the app, so a dialog appears instead: Continue in your browser.

Meta’s signup can’t run inside the installed app — it needs your browser, where you’re already signed in to Facebook. Tap Continue to open it there and you’ll come back automatically when it’s done. If nothing opens, copy the link below into your browser’s address bar.

Nothing has gone wrong. This is the normal path on those devices. Press Continue, finish at Meta, and you are brought back automatically.

If the handover was attempted and your phone passed it to the Facebook app instead, the same dialog appears titled Continue at Meta, which suggests trying again in your browser or copying the link.

Either way there is a Connection link box with the address in it, and that box is the reliable way out: the login can be finished in a different browser. Paste the link into any browser on any device, sign in there, and Raion Hub picks up the finished connection on its own. Keep the Raion Hub tab open while you do it.
