Your databaseAdd a contact

Add a contact

Add one contact by hand, or paste a list straight out of a spreadsheet, without leaving your contact list. Takes about a minute.

Before you start

  • Your role includes permission to create contacts. Raion Hub hides controls you cannot use rather than greying them out, so if there is no Add Lead button anywhere on the list, that permission is what is missing
  • A source — where these contacts came from. It is the one thing the form will not let you skip

The button is named after your database

On Leads, the button reads Add Lead. On a database your workspace named “Customers” the same button reads Add Customer; on “Landlords”, Add Landlord. This page says Add Lead throughout — read it as the name of whichever database you are looking at.

Steps

Open the form

There are three ways in from the contact list itself, and they all open the same form:

  • On a computer, the Add Lead button at the right of the top bar.
  • On a phone, the Add Lead button in the band at the top of the list.
  • On a list with nothing in it yet, the Add Lead button under No leads yet.

There is a fourth way in, from a WhatsApp conversation: the + beside the contact in the thread, whose tooltip reads Add to Leads. It opens this same form — headed just Add Lead — with the name, phone and source already filled in, and the Single / Bulk picker hidden. If WhatsApp has withheld the person’s number — which happens when they use a username — a block at the top of the form says so, and the contact saves without one.

On a computer the form opens as a dialog headed Add New Lead, and you close it with the ✕ at its top right — there is no Cancel button in the footer. On a phone it rises from the bottom of the screen as a sheet with a grab handle at the top, and there is deliberately no ✕ there, so swipe it down to close it.

Source and Owner sit in the band at the top and apply to everything you add

Set the source and the owner

The band across the top of the form holds the two things that apply to every contact in this batch. It stays put while the fields below it scroll.

Source carries a red ✶, which means required. Open it and pick where these contacts came from — the list is searchable, and its label is whatever your workspace calls that field. If your role can create sources you can also type a name that does not exist yet, and a line appears reading New source — “Trade show” will be added to your workspace on save. Without that permission the list is pick-only.

Owner is the avatar beside it, with a dashed +. It starts as you. Press it to pick someone else; on a phone that opens a sheet headed Assign to.

Both live up here because a source describes where a whole batch came from and an owner is who will work it. Status is the field two people in the same intake can honestly disagree on, which is why it sits down with the fields instead.

Fill in the contact’s details

The rows come in a fixed order — name, phone, email, company, status, date added — using whatever your workspace calls them. A field your workspace has deleted does not appear at all.

Only Name is required. The placeholders are examples of what to type, not instructions: Ray Low, [email protected], Orbit Labs, 60123456789.

The phone box has no country-code menu, on purpose. Type the number as you have it. Plain digits are read as a local number first, and an explicit +65… still wins. When the number Raion Hub will store differs from what you typed, a line appears under the box reading Saved as 60123456789 — that is the stored number, and it is worth a glance. A number we cannot read at all stops the save straight away with That doesn’t look like a valid phone number. Example: 60123456789.

Company searches the companies you already have as you type and creates a new one when there is no match. A spelling that is really an existing company adopts that company’s spelling when you save, so your list does not end up holding “Orbit Labs” and “orbit labs” separately.

If an option you pick is set up to collect more information, those extra rows appear immediately below, under a small Details heading. Anything required there blocks the save exactly as Name does.

Everything else your workspace stores is below the link reading Scroll for more details. Scroll, or press it, and the rest of your fields appear under their section headings.

Add another contact to the same batch

Only if you have more than one to enter — otherwise skip to saving.

Press Add Another at the bottom left. The contact you have filled in folds up into a single summary row — the name in bold, then its source or company, then the phone, then +2 more for the rest — and a fresh empty card opens beneath it.

A folded card is not gone: Edit (the pencil) reopens it and ✕ removes it. A card that still needs something is tinted and carries a line reading Needs name + source. Read that as “this one is not finished” rather than a literal checklist — reopen it and its own inline errors name the real problem, which is a missing name, a phone number we cannot read, or a required row left blank under Details.

Add Another folds the finished card into one row — the pencil reopens it

Save the batch

The button at the bottom right reads Add Lead, or Add 3 Leads once more than one entry is ready.

Press it even if you think something is missing. It never quietly does nothing: it marks whatever is at fault and jumps you to the first one, opening a folded card if that is where the problem is. Source in the band comes first, then a card’s Name, then its phone number, then the first required row left blank under Details.

Animation

The press is never ignored — wherever the form takes you is what is missing

You are done when the toast appears — Lead “Farah Zainal” added, or Added 3 leads — and the new rows are in your list.

Paste a list instead of typing it out

Switch the Single / Bulk picker at the top of the form to Bulk and the whole form becomes one paste box. Use it for a list you already have on screen in a spreadsheet and want in Raion Hub now.

For a file — a .csv, .xls or .xlsx you want to upload — use Import contacts instead. It takes far more rows and runs in the background.

Paste your rows

Copy the cells out of Google Sheets or Excel and paste them into the box under Paste your spreadsheet. Tabs, commas and semicolons are all understood, a quoted cell that contains a comma stays in one piece, and blank lines are dropped. You can also type one contact per line.

Column names in the first row are optional here. If the first row looks like field names we use it as the header; if it does not, every row is treated as data and you match the columns yourself. (The Import wizard is stricter — there, row 1 is always the header.)

The quiet How to format link to the right of the box opens a short reference with worked examples, if you want one.

Match the columns to your fields

A card appears for each column, under the heading Match columns to fields — or No column names found — match each column when the first row was not a header. A pill counts what we matched for you (Auto-matched 3), and every card we guessed carries a small green Auto-matched tag.

Each card shows the column’s name, an example of its first two values, and a dropdown for the field it should fill. For a column you do not want, choose Skip at the bottom of that dropdown or press the trash icon beside it; the same icon turns into an upload icon to put the column back.

Map a column to your Source field and those rows use their own value and ignore the one in the band — the form says so on screen. Any source name in the sheet that your workspace does not have yet is added when you save.

The strip under the cards is the thing to read: 3 Leads ready, or Map a column to Name to continue

Check the preview, then add them

The strip under the cards tells you where you stand: Map a column to Name to continue while Name is unmapped, or 3 Leads ready once it is — plus counts of rows skipped for having no name, and rows still needing a source.

The Preview below it — headed Preview · first 3 of 3 rows — shows your rows under your field labels, five of them at most. Past five it adds the line Showing first 5 of 120 rows. Read one row across, and if it lands in the right columns press Add 3 Leads. There is no staging step in Bulk: the preview is the review.

Attaching a file as you add

If your workspace has a files field on the form, it shows as a grid of tiles with an add tile at the end. Its label is Add followed by the field’s name — Add Documents for a field called Documents, and Add more Documents once there is a file in it.

Files you pick here upload after the contact is created, one at a time. If one fails the contact still exists and you get 2 files couldn’t be attached — add them from the lead. Attach those from the record instead: see Files on a contact.

When a paste is too big to add directly

Above a row count the server sets — the current default is 100 rows — a paste stops being added directly and is handed to the import pipeline instead. The Import window opens showing progress and a toast reads 120 rows queued — importing in the background. Nothing is lost; it finishes on its own.

A very wide paste can cross the same line well under 100 rows: there is a second ceiling on how many dropdown values one batch carries, so 80 rows across a dozen dropdown columns hands off too. The window opening is the only signal, and it means the same thing.

Two things follow from that:

  • It needs import permission, which adding by hand does not. Without it you get Too many leads to add at once — a batch this large is handled as an import, which your role doesn’t allow. Add them in smaller batches, or ask an admin for import access.
  • A batch carrying a file never hands off, whatever its size, so a big paste with an attachment stays on the direct path.
