Work the board in Kanban view
Kanban lays your contacts out as cards in columns — one column per stage — so you can see where everybody is and move them along by dragging. It works at every screen size, including a phone, where the columns scroll sideways.
Before you start
- The board shows exactly the same contacts as the table. The Owner chip, Search, Filter and the list chips all work the same way here.
- Moving a card writes a value onto the record. It is a real edit, not a way of tidying the screen.
Steps
Open the board
In the toolbar, click the View chip and pick Kanban (⌘2 / Ctrl+2).
View → Kanban
Read a column
Each column header carries a coloured dot, the stage’s name, a count pill and — when the contacts in it have a deal value — a figure like RM 48k, rounded to whole thousands. On a card the same figure carries one decimal, RM 4.8k.
The count is the whole matching set, taken from the server, not just the cards that have loaded. Cards arrive as you go: 30 per column, with the next 30 fetched as you approach the bottom of that column. The one exception is a board grouped by Company, where the counts only reflect the contacts currently loaded.
Move someone along, with a mouse
Press and hold a card, drag it over another column — the column highlights, and an empty one changes from No leads to Drop here — then let go. The field the board is grouped by is written to that column’s value.
Drop a card back on the column it came from and nothing happens.
Drag a card to another column to move that contact along
Move someone along, on a phone or tablet
Dragging does not work from a touchscreen, so every card carries a swap-arrows button instead. Its label is the contact’s name — Move Farah Zainal to another column. Tap it and a Move to menu lists every column by name, with the current one ticked. Pick one.
It performs exactly the same write as a drag.
On a touchscreen, use the card's Move to menu instead of dragging
Change what the columns are
The columns are your Group by choice made spatial. Set Group by to a different field and the board rebuilds around it — see the table below for what each choice gives you.
What the columns are, and whether you can drag
| What you group by | The columns you get | Dragging |
|---|---|---|
| Nothing (the default) | your workspace’s Status options | Yes — a drop sets Status |
| Any single-choice field | that field’s options | Yes — a drop sets that field |
| Owner | one column per team member, plus an unassigned one | No |
| Company | the columns stay on Status | Yes — a drop sets Status |
A few things that follow from that:
- With nothing grouped, the board is already grouped by your Status field, even though the Group by chip looks unset. The chip shows the choice you made, and “no choice” means status here.
- On an Owner board nothing drags. Changing who owns a contact is not a field edit, so it is not something a drop can do — use the Assign action instead, covered in Change many contacts at once. A contact with two owners appears in both their columns: one record shown twice, not two records.
- Grouping by Company leaves the columns on status, and a line says so: Grouping by Company shows in Table and Card views — kanban columns stay by status.
- A grouped board grows a trailing No priority style column — the field’s name, lowercased — only if some contacts genuinely have no value for it. A bucket that would always be empty is never drawn.
What is on a card
Top to bottom: the company as a small chip when it is set, the contact’s name, the grouped field’s value as a chip on the right, the owner avatars — or a dashed unassigned chip — a Due date pill when the board has a single owner selected and that contact has a next follow-up, the deal value, and the same row of action buttons the mobile card list uses.
If something goes wrong
| What you see | Why | What to do |
|---|---|---|
| One card will not drag, and has no Move to button | You are not that contact’s owner, or it is still waiting for you to accept it | Accept it first, or ask whoever owns it to move it. The button is withheld rather than letting the drop fail |
| No card drags anywhere | The board is grouped by Owner | Use the Assign action to change owners |
| A column shows a small spinner instead of cards | It has not fetched its first page yet — columns load as they scroll into view | Wait a moment; the empty box only appears once a column really is empty |
| A column reads No leads on a database you renamed | That empty box is fixed wording, not your database’s word | Nothing to fix |
| No page numbers at the bottom of the board | Kanban pages per column, not per screen | Scroll a column down to load its next 30 cards |
| The Group by chip looks empty but the board is in stages | Status is the default board | Nothing to fix — pick a field in Group by to change it |
| A company you know exists is not offered when grouping by Company | Company grouping only knows the contacts loaded in your browser | Scroll or filter so those records load first |
