Export contacts to a spreadsheet
Send what you are looking at to a CSV file you can open in Excel or Google Sheets. The file follows the screen: the same columns, in the same order, filtered the same way.
Before you start
- You will not see the export option unless an admin has given your role the Lead Bank permission. That same grant also allows permanently deleting records and lead sources, which is why it is not handed out widely — so ask a workspace owner rather than expecting to find a setting of your own.
- The file takes the columns your table is currently showing. Unhide anything you need before you export — see Work in Table view.
Steps
Decide what you are exporting
Leave everything unselected and the export covers your current view. Tick rows first and the export is exactly those rows, nothing else.
If you want the whole workspace rather than your own records, set the Owner chip to Anyone first — see Find the contacts you need.
Open Tools and pick export
In the toolbar, far right, click the Tools chip, then the export row. It uses your database’s own plural, so it reads Export leads on Leads and Export landlords on a database named Landlords.
On a phone: the View & Tools chip, then under the Tools heading, the export row.
Tools → Export leads
With rows ticked, that same row changes its wording to tell you what it will do — for example Export 12 selected.
Ticking rows changes the row itself — it is the same export, scoped to your selection
Let it finish
The row stops responding and a spinner appears beside its label. The menu stays open on purpose so you can see it working while the file streams, and it closes by itself the moment the download starts. A large export is allowed up to two minutes before it gives up.
Read the message
Your browser saves the file, and a message tells you which of three things happened. It is worth a glance — that message is how you know whether you got every matching contact or only the ones on screen. See the table below.
What actually lands in the file
| Your situation | What you get | The message |
|---|---|---|
| Rows ticked | exactly those records | Exported 12 selected leads |
| Everything ticked with the header checkbox | every matching record, including those on other pages | Exported 128 selected leads — the full count |
| Nothing ticked, on the plain All or Archived chip, or on a database you built | every matching record — not just the page you are looking at | Exported all matching leads |
| Nothing ticked, but this database’s own rule is being applied in your browser | exactly the records loaded into the screen right now | Exported 12 landlords — the real count, in the database’s own word |
So the second case is the one to expect, and it is not limited to the page in front of you.
If the message names a number and your database’s own word instead of saying “all matching”, you got only the rows loaded on screen — and on a desktop table that is the page you are on, nothing more. Two ways to get the rest:
- Raise Rows: at the bottom right of the table to 100, then export again
- Better, narrow the list with a Filter until everything you want fits on one page, then export
What is in the columns
- Your visible table columns, in their display order. What you see is what you get, and a column you hid is not in the file.
- Your Owner selection, the search box, the Search by field, the saved list you are on and the column you sorted by are all sent with the request, so the file matches the screen rather than the whole database.
- Export is per database. Exporting from a database you built gives you that database’s records and that database’s columns.
- If the server does not name the file, your browser saves it as raion-leads-2026-09-30.csv — today’s date.
Exporting and importing are separate grants
| You will not see it without | |
|---|---|
| Export leads | the Lead Bank permission |
| Import leads | the Lead Table permission with create and the Lead Bank permission with create |
Being able to add one contact by hand does not mean you can import a spreadsheet, and being able to import does not mean you can export. Each row is absent from the Tools menu without its grant — the menu never offers something the server would refuse.
Import accepts .csv, .xls and .xlsx files up to 10 MB, and treats the first row as your column headers.
If something goes wrong
| What you see | Why | What to do |
|---|---|---|
| No export row in Tools at all | Your role does not have the Lead Bank permission | Ask a workspace owner to grant it |
| No leads to export, and no file | Nothing matches the view you are in | Set Owner to Anyone, or clear your filters, then try again |
| Couldn’t export leads — try again | The request failed or ran past two minutes | Try again. If a very large export keeps failing, filter it into smaller pieces |
| The menu looks stuck open with a spinner | That is deliberate, so you can see it working | Leave it — it closes itself when the download begins |
| A column you need is missing from the file | It is hidden in this table | Unhide it in the table, then export again |
| Your teammates’ contacts are missing from the file | The Owner chip is still on Me | Set it to Anyone and export again |
| Fewer rows than the count you expected | The message was Exported 12 landlords, so only the loaded page went | Raise Rows: to 100, or filter the list down, then export again |
