Move leads between Raion Hub and a Google Sheet

Pull a list of people out of a Google Sheet and into your contacts, or push a lead source out to a sheet you can share. Both run from the same screen and take about five minutes.

Before you start

  • A Google account connected to this workspace — see Capture Google Form responses as leads for the one-off connection. The tabs on this page do not exist until an account is connected
  • Your role includes the Social Integration permission
  • For an import: the sheet’s column names in its first row, with the data starting immediately underneath

This is a one-off move, not a sync. Nothing is remembered: the spreadsheet you pick is forgotten when you leave the page, later edits in Google do not reach Raion Hub, and later edits in Raion Hub do not reach the sheet. There is no list of connected spreadsheets anywhere, because nothing stays connected.

Steps

These steps bring a sheet’s rows in as leads. Sending leads the other way reuses the same first steps — see Send leads out to a sheet below.

Open the Spreadsheets tab

From the sidebar, Automation → Integrations → Google, then the Spreadsheets tab. With nothing picked yet it reads Connect a spreadsheet — Select a Google Sheet to import leads from or export leads to.

The Spreadsheets tab always starts here — nothing is remembered between visits

Pick the file

Click Select spreadsheet. Google’s own file picker opens; choose your sheet.

If your workspace uses its own web address, you get Connecting Google has to run on your primary Raion address. Opening it in a new tab… and the same screen opens in a new tab on a Raion address. Sign in again there — you are still working on this workspace.

Choose the tab inside the file

Spreadsheet now shows the file’s name and cannot be edited. Sheet is a dropdown of the tabs inside that file, and Raion Hub has already selected the first one.

The first row of the chosen sheet is treated as your column names. One mapping row is created per column. A sheet with a title or a blank row above the headers will read the wrong thing as a column name, so tidy that in Google first.

Change Sheet if your data is on another tab. Everything reloads for that tab — and because the column names change, any mapping you had already made is cleared. Pick the sheet before you map, not after.

The whole screen: file, sheet, lead source, mapping, then the three actions

Look at the rows before you commit

Click Preview Data. A window opens headed with the file’s name and Sheet: Sheet1 underneath, using the sheet’s first row as the table’s own header row.

This is the cheapest way to catch a header problem: if the column headings in the preview are your headings, Raion Hub is reading the sheet the way you expect. If they are a title or a blank row, close the preview and fix the sheet in Google.

A sheet with more than 50 rows of data says Showing first 50 of 412 rows. at the bottom — that is a limit on the preview only, not on the import. Close finishes, and nothing is changed by looking.

Preview shows at most 50 rows, and changes nothing

Choose the lead source

Under Linked lead source, pick the lead source for this move. To make one here, choose + Create new lead source, type a name (placeholder e.g. Facebook Ads — Spring Campaign) and press Create or Enter. If that name already exists in any capitalisation it is reused, and you get Using existing lead source “Spring Open House” instead of a duplicate.

Both Import Leads and Export Leads stay unavailable until a lead source is set.

Match the columns to your fields

The table has two columns: SOURCE FIELD, which is your spreadsheet’s column names, and RAION HUB FIELD. Each row starts at Select field….

Map at least one. A Raion Hub field that another row already claims is not offered again, so two spreadsheet columns cannot be pointed at the same field. A column left at Select field… is not written anywhere — it is skipped, not stored.

Import

Click Import Leads. The whole block dims while it runs, then the toast reads Leads imported. and the people are in your contacts.

Send leads out to a sheet

Exporting is shorter, because the column mapping plays no part in it.

  1. Select spreadsheet and pick the file, exactly as above.
  2. Set Sheet to the tab you want the leads written to.
  3. Pick a Linked lead source. Export does not run without one.
  4. Click Export Leads. The toast reads Leads exported.

Export ignores the field mapping completely. Only the spreadsheet, the sheet name and the lead source are sent, so there is no point mapping columns before an export — and no way to choose which columns come out from this screen. If you need control over the columns, use Export contacts to a spreadsheet from the contact list instead, which follows the columns on your screen.

What each control does

ControlWhat it doesWorth knowing
Select spreadsheetOpens Google’s file pickerGoogle’s own window, with its own wording
SheetChooses which tab inside the file is readChanging it re-reads the headers and clears the mapping
Linked lead sourceThe lead source for this moveRequired for both directions
A RAION HUB FIELD cellWhich field of your contact that column fillsImport only. Unmapped columns are not written
Preview DataA read-only look at the first 50 rowsChanges nothing
Import LeadsCreates contacts from the sheet’s rowsNeeds a lead source and at least one mapped column
Export LeadsWrites that lead source’s contacts into the sheetNeeds a lead source. The mapping is not used
Pick a different spreadsheetReopens the pickerEverything on the screen resets, including the mapping

Things worth knowing first

  • Row 1 is always the header row. There is no “my sheet has no column names” option here.
  • Switching the connected Google account clears this tab. The file, the sheet, the lead source and the mapping all go, and you start from Connect a spreadsheet again.
  • While an import, export or preview is running, the whole block is dimmed and nothing responds. Wait for the toast.
  • For a file on your own computer rather than in Google Drive, use Import contacts from a spreadsheet — that flow checks your mapping, resolves your dropdown values and runs in the background.
